Our client is now recruiting for an Office Manager


This is a Contract role with ManpowerGroup

Responsibilities:
• Be a professional and friendly “public face” for the office
• Meetings & conferences: Organise meetings of all sizes, from 2 participants to 200, including all meeting logistics and boardroom set-up
• Entertainment: ensure all incoming guests (internal and external) are hosted effectively, including on the ground logistics, meeting co-ordination and entertainment


• Manage all daily aspects of our Dubai office:
o Ensuring the office is tidy and presentable to guests
o Kitchen orders for employee consumption (daily milk, fruit baskets, water machine, refreshments, snacks, coffee)
o Refrigerator hygiene / disposing of out-of-date items
o Act as first aid officer and implement fire safety procedure
o Stationery orders
o Management of door access system
o Administration and management of all office contracts: printer, internet, mobile phones, coffee machine, office cleaners
o Liaise and act as single point of contact with the Building Management to coordinate necessary maintenance tasks
o Act as point of contact for Couriers (including scoping of new providers)
o Post and PO Box management
o Management of car parking space allocation
o Act as main point of contact for people coming to the office, including reception duties


• Support the new employee set-up (order IT hardware, SIM card, mobile device)
• Become the point of contact and management of any IT issues and take care of mobile phone upgrades and repairs
• Track our DEWA (Dubai Electricity and Water Authority) usage and supplying our Carbon Footprint to Corporate
• Meetings & conferences: Organise meetings of all sizes, from 2 participants to 200, including all meeting logistics and boardroom set-up

Education, Skills & Experience:

The ideal candidate will:
• Be fluent in English, other languages are a plus
• Have excellent oral and written communication skills and be proficient at MS Office suite
• Have excellent organizational and management skills
• Have experience working in a multinational environment (multiple offices, time zones, cultures)
• Be able to work under time pressure, with accuracy
• Have a positive attitude and a pleasant disposition
• Enjoy a fast pace and constantly changing priorities
• Be technologically savvy and have experience in managing office related IT equipment (i.e. laptops, printers, video conferencing system, TVs)
